How to setup an email template

Step 1 : Login (using your icfaustralasia.com email account). On the left hand toolbars select Email Templates, or you can find it by going to the Dashboard and then find "Email Templates".

If you cannot see an Email Templates icon, contact your branch administrator to give you access, this could mean you are logged on as a member not an administrator.



Step 2 : Scroll the list and check if there is already a template set up from which you can copy.

Select the email by clicking the checkbox and click "COPY"


Step 3 :
Update the email template name and description.

For example, ICF Newsletter March 2025

Update the email subject line as well.

Step 4 :
Now you can start editing your email.

Using the "ICF Email Styling" custom style for consistency, you can add and edit components to suit your requirements.


Two document libraries have been set up to store commonly used images and media:


Email Images & Media - for header graphics, images and banners

Sponsors - for advertising graphics


If you do not have access to these, check with your Administrator.

Step 5 :
Using the buttons shown, you can:

  • Edit: Change the component styling, link, text, etc
  • Move Up: Move the component up one
  • Move Down: Move the component down one
  • Delete: Remove the component from the email

Hover over the buttons for a quick tooltip.

Step 6 :
To add a new email component, scroll to the end and click the + button

Step 6 :
Select your email component.

In this example we have chosen text.

Add your text, using the appropriate styling and formatting and click "Save".


Continue adding email components of different types until you have a complete email with a balance of images & text.

Step 6 :
After your email is completed, save the template, update the status to "Published" and you're ready to send.

It's always a good idea to send a test email to yourself to check for formatting and display.
